At Glacier Safari, we are committed to ensuring transparency and clarity in bookings, payments, cancellations, and refunds. Our goal is to provide fair terms and clear guidelines for a seamless experience for all our clients.
1. Down Payment
To secure your booking, a non-refundable down payment of at least 30% of the total trip cost is required. The remaining balance must be paid 30 days prior to departure or upon your arrival in Kathmandu.
If this payment schedule poses any challenges, please contact us, and we will strive to accommodate your needs with flexibility.

3. Last-Minute Booking
We accept last-minute bookings for excursions in Nepal only. Last-minute bookings for trips to India, Bhutan, or Tibet are not permitted.

5. Single Supplement Charge
Our holiday tour/trek packages are based on twin-sharing accommodations (rooms or tents). A single room supplement charge will apply to clients who do not have another participant to share accommodations with.
6. Incomplete Tour
No refunds will be provided for clients who choose to drop out of a journey, regardless of any unused portions of the itinerary.
7. Unforeseen Circumstances
If Glacier Safari cancels a trip due to unforeseen circumstances such as war, natural disasters, conflict, or unfavorable weather conditions, we will offer an alternative trip of a similar standard. If the alternative does not suit your preferences, all payments made to Glacier Safari will be fully refunded. However, any additional expenses incurred due to the booking (e.g., travel or accommodation costs) are the client’s responsibility.
8. Clients’ Responsibilities
During your tour, the tour/trek guide representing Glacier Safari holds full authority to ensure the safety and smooth operation of the trip.
9. Travel Insurance
We strongly recommend that all clients purchase comprehensive travel insurance covering medical emergencies, natural calamities, helicopter evacuation, personal accidents, trip cancellations, and other potential risks.
10. Tour Amendments
Prior notice is required for any changes to your trek/tour itinerary. While we encourage you to stay in touch with us, amendments may occasionally be necessary en route due to unforeseen circumstances, such as adverse weather conditions.
11. Papers & Documents
All required documents (e.g., for visas or permits) must be provided in a timely manner. Glacier Safari is not responsible for incomplete trip formalities due to missing or delayed documentation before departure.
12. Flight Delays/Cancellations
Flight delays or cancellations are common in Himalayan regions, particularly in areas like the Everest region (Lukla), Jomsom, Dolpa, Simikot, and Jumla, due to unpredictable weather. In such cases, your itinerary may be adjusted accordingly.
